1. Agreement to Terms
These Terms of Service ("Terms") govern your access to and use of OfficePoll (the "Platform"), operated by Maxwell Cyberlogic LLC, a Delaware limited liability company ("we," "us," or "our"). By accessing or using OfficePoll, you agree to be bound by these Terms. If you do not agree, do not use the Platform.
2. Description of Service
OfficePoll is an anonymous professional feedback platform. Users create profiles, share a unique link with colleagues, and collect honest peer feedback. All feedback undergoes AI-powered anonymization before storage. Recipients never see individual feedback entries — only synthesized aggregate reports.
3. Account Creation
Accounts are created exclusively through LinkedIn OAuth. By signing up, you authorize us to receive your name, email address, and LinkedIn ID from LinkedIn. You are responsible for maintaining the security of your LinkedIn account. You may not create accounts on behalf of others or use another person's LinkedIn credentials.
4. Feedback Submission and Anonymization
When you submit feedback on OfficePoll, you acknowledge and agree that:
- Your original feedback text will be permanently deleted immediately after AI-powered anonymization. There is no soft delete, archive, or recovery.
- All feedback undergoes PII scrubbing and stylometric neutralization to remove identifying characteristics, including writing style patterns.
- Only the anonymized version is stored. Individual feedback entries are never shown to recipients — only synthesized aggregate reports.
- The social and feedback graph (who reviewed whom) is never directly revealed to any user. We may use anonymized platform activity patterns to suggest potential colleagues, but these suggestions never reveal who reviewed whom.
- If your feedback is too specific to be safely anonymized, it will be rejected and returned to you with an explanation. You may revise and resubmit.
- Feedback submissions, once anonymized and stored, cannot be retracted or edited.
5. Give-to-Get Model
OfficePoll operates on a reciprocity model. To unlock your own synthesized feedback report, you must give at least 3 reviews for other professionals. Additionally, your report requires a minimum of 5 reviewers before it is generated. These thresholds exist to ensure report quality and protect reviewer anonymity through crowd-level aggregation.
6. Escrow System for Non-Users
Feedback may be submitted for individuals who are not yet on the Platform using their LinkedIn URL. This feedback is held in escrow. The individual may receive a single notification email informing them that feedback is available. If they sign up and claim the feedback, it is transferred to their account. Unclaimed escrow feedback is permanently deleted after 90 days. At most one notification email is ever sent per non-user — we do not send follow-ups or reminders.
7. Opt-Out and Account Deletion
Opt-out: Any person may permanently opt out of OfficePoll. Opting out requires an OfficePoll account with a verified LinkedIn profile. This ensures we can accurately match your identity to any pending feedback or escrow records and prevents others from opting out on your behalf. Once opted out, we will never contact you again, and no feedback can be submitted for you on the Platform. Opt-out is permanent and cannot be reversed.
Account deletion: You may request deletion of your account at any time through your account settings. Upon deletion, your profile and associated data will be removed. There is a 90-day cooldown period before you may re-register with the same LinkedIn account. Previously anonymized feedback that has already been incorporated into synthesized reports for other users cannot be individually extracted or removed, as the original text no longer exists and the anonymized content is aggregated beyond individual attribution.
8. Prohibited Uses
You agree not to:
- Submit knowingly false, fabricated, or misleading feedback.
- Use the Platform to harass, bully, defame, or target any individual, even under the protection of anonymity.
- Attempt to game the give-to-get system by submitting low-effort or meaningless reviews solely to unlock your own report.
- Attempt to de-anonymize feedback, identify reviewers, or reverse-engineer the social/feedback graph.
- Create multiple accounts, impersonate others, or use fake LinkedIn profiles.
- Use automated tools, bots, or scripts to interact with the Platform without our written permission.
- Interfere with, disrupt, or attempt to gain unauthorized access to the Platform or its infrastructure.
- Use the Platform for any purpose that violates applicable laws or regulations.
We reserve the right to suspend or terminate accounts that violate these rules, without prior notice.
9. AI-Generated Content
OfficePoll uses artificial intelligence for three core functions: anonymizing submitted feedback, synthesizing aggregate reports, and powering AI career coaching. The specific AI providers we use may change over time. You acknowledge that:
- AI-generated content, including anonymized text and synthesized reports, may not perfectly capture the intent or nuance of original submissions.
- Synthesized reports are computational summaries, not verbatim representations of any individual's feedback.
- AI processing is integral to the anonymization guarantee. Without it, the Platform cannot function as designed.
10. Intellectual Property
The OfficePoll platform, including its design, features, code, and branding, is the property of Maxwell Cyberlogic LLC. By submitting feedback, you grant us a non-exclusive, irrevocable license to process, anonymize, aggregate, and display that feedback as part of synthesized reports. You retain no rights to submitted feedback once it has been anonymized and the original deleted, as the original content no longer exists in any form.
11. Limitation of Liability
To the maximum extent permitted by law, Maxwell Cyberlogic LLC and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenue, whether incurred directly or indirectly, arising from:
- Your use of or inability to use the Platform.
- The content of any feedback received, including AI-processed anonymized text or synthesized reports.
- Any decisions you make based on feedback or reports generated by the Platform.
- Unauthorized access to or alteration of your data.
The Platform is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
12. Indemnification
You agree to indemnify and hold harmless Maxwell Cyberlogic LLC from any claims, damages, losses, or expenses (including reasonable attorney's fees) arising from your use of the Platform, your violation of these Terms, or your violation of any rights of another party.
13. Changes to These Terms
We may update these Terms from time to time. If we make material changes, we will notify you by posting the updated Terms on the Platform and updating the "Last updated" date. Your continued use of OfficePoll after changes are posted constitutes acceptance of the revised Terms.
14. Governing Law
These Terms are governed by and construed in accordance with the laws of the State of Delaware, United States, without regard to its conflict of law provisions. Any disputes arising under these Terms shall be resolved in the state or federal courts located in Delaware.
